Terms and Conditions

1. Definitions
- Folio: the wedding planning platform at folio.wedding, operated by Stef Appelhof, a sole proprietor based in the Netherlands.
- User: any natural or legal person who uses Folio, including couples and wedding planners.
- Service: the complete set of functionality that Folio provides, including guest list management, budget planning, task management, timeline, seating chart, gift registry, and RSVP.
- Subscription: a recurring payment agreement for access to the Service, applicable to wedding planners.
2. Applicability
These terms and conditions apply to all use of Folio, both the hosted version at folio.wedding and the self-hosted version. By creating an account or using the Service, you agree to these terms.
Deviating terms from the User are not accepted unless Folio agrees in writing.
3. Service
Folio is a wedding planning platform that enables couples and wedding planners to organize their wedding. The Service includes, among other things:
- Guest list management and digital RSVP via personal links
- Budget planning and expense tracking
- Task management and timeline
- Seating chart
- Gift registry
- Wedding website
- Team management with roles (master of ceremonies, wedding party, family) and configurable access permissions
- Data export (ZIP download of all wedding data)
Folio is available as a hosted service (folio.wedding) and as a self-hosted solution. The terms for self-hosting are described separately in section 11.
4. Account and access
To use Folio, you need an account. You are responsible for:
- Providing accurate and up-to-date information at registration
- Keeping your login credentials secure
- All activity that takes place under your account
Each account is linked to one wedding. It is not permitted to use one account for multiple weddings (with the exception of planner accounts).
Folio may suspend or delete an account in the event of abuse, unauthorized use, or violation of these terms.
5. Pricing and payment
Couples
Couples pay a one-time fee of EUR 79 (including VAT). This provides access to all functionality until 3 months after the wedding date. After this period, the environment is archived.
Wedding planners
Wedding planners pay a monthly subscription starting at EUR 29 per month (including VAT). The subscription provides access to the planner portal and the ability to manage multiple weddings.
Price changes
Folio may change prices. Existing users will be notified by email at least 30 days in advance. For active subscriptions, the new price takes effect at the next billing period after the notice period expires.
Payment
Payments are processed via Stripe. Folio does not store credit card details. By paying, you also agree to the terms of Stripe.
6. Right of withdrawal
Under EU consumer protection law, you have a 14-day cooling-off period after purchase. Within this period, you may cancel your purchase without giving a reason.
Because Folio is a digital service to which you gain immediate access after payment, we ask you to confirm the following at the time of purchase:
"I agree to immediate access to the digital content and waive my right of withdrawal."
If you agree, you receive immediate access to Folio and your right of withdrawal lapses. No refund will be issued in this case.
If you do not agree to immediate access, your account will be activated after 14 days. You may cancel your purchase within those 14 days and receive a full refund.
7. Ownership of data
All data you enter into Folio remains your property. Folio does not claim any ownership rights to your guest lists, budget data, planning, or other content.
You grant Folio a limited licence to process your data solely for the purpose of delivering the Service. Folio does not use your data for any other purpose.
Upon termination of your account:
- You can export your data at any time via the download feature in the platform. After deletion, data is retained for 30 days before permanent removal.
- Folio is not obligated to retain or recover data after this period
8. Availability
Folio strives for the highest possible availability but does not guarantee uptime. The Service is provided on a best-effort basis.
Scheduled maintenance may lead to temporary unavailability. Where possible, users will be informed in advance.
Folio is not liable for damages resulting from unavailability of the Service.
9. Liability
The total liability of Folio is limited to the amount you have paid to Folio in the past 12 months.
Folio is not liable for:
- Indirect damage, consequential damage, or lost profits
- Damage caused by data loss, regardless of the cause
- Damage resulting from the unavailability of the Service
- Consequences of data loss for your wedding, such as missing guest lists, seating plans, or other planning data shortly before or during your wedding day
You are responsible for making regular backups of your data. Folio provides export functionality for this purpose, but it is your responsibility to use it.
10. Privacy
Folio processes personal data in accordance with the GDPR. Our full privacy policy can be found at folio.wedding/en/privacy.
In short: we only collect what is necessary, store everything in the EU (Germany), and never sell data to third parties.
11. Self-hosted
Folio is also available as a self-hosted solution. If you host Folio yourself, you are fully responsible for:
- The security of your installation and data
- The availability and uptime of your environment
- Compliance with applicable laws and regulations (including GDPR)
- Making backups
- Updating to new versions
Folio does not provide support or guarantees for self-hosted installations unless otherwise agreed in writing.
12. Intellectual property
The source code, design, name, and brand of Folio are the property of Folio. Using the Service does not grant you any ownership rights to the software or brand.
The self-hosted version of Folio is made available under an open source licence. The terms of that licence apply to the use, modification, and distribution of the self-hosted code.
13. Termination
By the User
You may cancel your account at any time. For couples, no refund is issued after payment (see section 6). For wedding planners, the subscription ends at the end of the current billing period.
Deleting a wedding environment requires email confirmation. After confirmation, data is retained for 30 days for possible recovery, after which it is permanently deleted.
By Folio
Folio may terminate your account in the event of:
- Violation of these terms
- Abuse of the Service
- Termination of the Service as a whole (with at least 60 days notice)
Upon termination, you have 30 days to export your data, unless the termination is the result of abuse.
14. Changes
Folio may modify these terms. In the event of changes, you will be notified by email at least 30 days in advance. If you continue to use the Service after the change, you agree to the modified terms.
In the case of material changes that restrict your rights, you have the right to cancel your account free of charge before the effective date of the change.
15. Governing law
These terms are governed by Dutch law. Disputes will be submitted to the competent court in the Netherlands.
If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
